What is Subtreo? ​

Subtreo is a billing and subscription-management system. It provides a single place to maintain customers, product catalogues, subscriptions, invoices, payments, credits, refunds, and the operational data that connects them.

The normal workflow is straightforward: configure billing settings and tax, create customers and products, add products to subscriptions, then let the billing workflow produce invoices. Credits and refunds support changes such as proration, cancellation, and customer adjustments. Each tenant's data and integrations are kept separate.

Subtreo supports three product types:

  • One-time charges for single billable items such as installation or activation.
  • Recurring charges for services billed on a defined cadence.
  • Physical assets for inventory-backed products that may need stock or individual-unit tracking.

The admin panel ​

The admin panel is the operational workspace for billing and support teams. It is where you configure and manage the records that drive billing:

  • Settings holds billing settings, tax profiles, API keys, and webhook endpoints.
  • Customers holds contact details, billing addresses, tax selection, payment terms, and a customer's subscriptions, invoices, credits, and payment history.
  • Products holds one-time charges, recurring charges and their billing periods, and physical assets with inventory information.
  • Subscriptions connect a customer to selected products, quantities, billing dates, and any one-time charges.
  • Invoices and credits let staff review generated billing records, download or email invoice PDFs, record bank-transfer payments, apply customer credit, and manage refunds.

Use the admin panel to make deliberate operational changes. Product, tax, currency, and billing-profile changes affect future billing; invoices retain the values captured when they were generated.

API and webhooks ​

The API enables your own applications to retrieve and manage supported Subtreo resources programmatically. Create and manage keys in Settings → API Key. Authenticate requests with the X-API-Key header, and keep each key secret. You can disable a key when it is no longer needed and use its last-used timestamp to review activity.

Webhooks complement the API by sending event notifications to your system when subscription and invoice events occur. Configure a secure HTTPS endpoint, subscribe it to the events you need, verify its HMAC signature, and run the webhook delivery worker.
